What should an HVAC estimate explain to a homeowner?

Write HVAC estimates around the customer’s property and agreed scope. Identify equipment models, installation work, exclusions and handover. Explain any assumptions that could change the price and provide a clear route for approval; a promotional headline price cannot substitute for an assessed proposal.
What would make the information more useful?
Use separate lines for equipment, controls, installation work and any allowances. Explain who removes the old equipment and how commissioning is recorded. Customers comparing proposals should be able to identify the same elements without translating your internal terminology.
How can you put this into practice locally?
Give the information a named owner within the business. That person can check changes, remove expired offers and keep replies consistent. Use customer questions to improve the description, and assess whether inquiries fit the work you want to provide.
